Planning for a Pack Meeting, Court of Honor, or Award Ceremony
TroopTrack uses a simple workflow for pack meetings, courts of honor, and award ceremonies. Here are the steps:
- Print Advancement Report - generates a report on BSA forms for recording advancement with your district (BSA-specific)
- Print Blue Cards - Blue cards are for Merit Badge awards (BSA-specific, used only for Boy Scout troops)
- Board of Review Worksheets - Summary of scout's progress on rank/level (TroopTrack only has BOR worksheets for Boy Scout troops)
- Shopping List - creates a list of all the stuff you need to buy for your pack meeting (based on awards marked as completed, but not purchased)
- Print Award Cards - print award cards on 8.5x11 cardstock or other paper for presenting with awards, patches, etc.
- Present Awards - after the meeting, mark which awards were handed out
- Print Agenda by Scout/Girl/Youth - print an agenda that sorts awards by scout for the leaders to use during the meeting
- Print Agenda by Patrol/Den/Unit - print an agenda that groups scouts and awards by patrols/dens/units for the leaders to use during the meeting
NOTE: For BSA troops only, you must go to Achieve > Print in order to print agendas, award cards, BOR worksheets, etc.
How to Get There
The pack meeting workflow is available from the Achieve menu, as shown in the screenshot below. Which options you see will vary slightly based on your organization.
Step 1: Print Advancement Report
To generate the BSA advancement report, click on "IA 2.0 Advancement Reports."
From this page you can:
- Generate a new report, which will be a list of completed awards that have not yet been marked as "reported to council." Select or de-select any awards as appropriate, then scroll to the bottom and hit the save button. This will take you to a page where you can view and download the report as a .txt file to upload to Internet Advancement 2.0. From this page, you can also close the report once it has been submitted to IA 2.0.
- You can also view previously generated reports from this page as well. By clicking on the Details option, you can view the report, download it, and mark it as closed.
Either of the above options will take you to the page shown below. Closing the report will change the status from open to closed (pictured above).
Step 2: Print Blue Cards
Click Achieve > Print > Print Blue Cards and fill out the following form.
Once the form is filled out, click print and follow prompts.
Step 3: Board of Review Worksheets
Click Board of Review Worksheets in the Achieve > Print dropdown menu. The following form will appear.
Fill out the form and click Save. This will generate a .pdf in another window with all of the selected BOR worksheets, pre-filled based on what you have entered on TroopTrack, similar to the report shown below. Use your browser to print.
Select Shopping List from the Achieve menu and use your browser to print the page or download as a .csv file and open with Excel or another spreadsheet program.
Step 5: Print Award Cards
You can print award cards on plain 8.5x11 paper with your printer. Click Achieve > Print > Print Award Cards to get started and follow the steps shown below.
Choose the awards you need cards for, scroll to the bottom of the page, and then click print. Your browser will then prompt you to download a .pdf that you can print. You can also purchase perforated cardstock directly from TroopTrack to make printing award cards even easier.
Load your printer with blank 8.5x11 paper, print your cards, and sign them.
Step 6: Present Awards
After an award meeting, you will need to mark awards as presented to clear the shopping list/agenda for the next meeting. To do this, select the Present Awards option from the drop down menu of the Achieve Badge. The following screen will appear:
Mark appropriately and click save.
- Purchased: Award has been purchased
- Awarded: Award has been present to scout
- Recognized: Troop has acknowledged the award (i.e. award ceremony, etc.) In many cases, both 2 & 3 are completed at the same time.
NOTE: If you don't complete this step after an award ceremony, the awards will continue to show up on the shopping list.
Step 7: Print Agenda By Scout
Click "Print Agenda by Scout". Your browser will prompt you download a PDF. Print the downloaded file and use it to record which awards get passed out at the pack meeting.
Step 8: Print Agenda By Patrol
Printing the Agenda By Patrol will still print scouts' awards by scout but will also sort them by Patrol as shown below:
